Cooper Foundation is hiring an Executive Assistant 

The Executive Assistant supports the Executive Director and manages the operations of the foundation office and historic house.

The Cooper Foundation seeks a highly motivated individual who has a strong interest in nonprofit organizations and a desire to make a positive impact on the local community.

A successful candidate will have:

  • Bachelor’s degree or four additional years of related experience beyond the minimum required (may be substituted in lieu of a degree);
  • Three+ years’ administrative experience; Two+ years’ experience in nonprofit arena preferable
  • Exceptional organizational skills;
  • Professionalism, discretion, and diplomacy;
  • Meticulous attention to detail;
  • The ability to relate well to a variety of people;
  • Excellent communication skills, both written and verbal;
  • The ability to listen purposefully and find connections between themes and strategies;
  • The foresight to think ahead and plan for both the expected and the unexpected;
  • The ability to work with minimum supervision and take initiative;
  • The ability to be flexible and adaptable to change with eagerness to learn;
  • Extensive experience in MS-Office Suite with expertise in MS-Excel;
  • Demonstrated ability for data analysis and management.
  • The ability to work independently but take direction and follow through in a timely manner;
  • The ability to work collaboratively on multiple projects and tasks simultaneously;
  • Demonstrated interest and commitment to making Waco a better place.


The Executive Assistant’s work responsibilities will include, but are not limited to, the following:

Grants Management & Community Support

  • Oversee the receipt and processing of grant requests, payments, and reports.
  • Prepare submitted applications for review by the Executive Director and Board of Directors.
  • Enter data in online software programs, maintaining accuracy and integrity of records in those systems.
  • Prepare reports by collecting and analyzing information.  
  • Coordinate Nonprofit Network and other community meetings – including session design, logistics (meeting space, food, presenter needs), and promotion of meetings.
  • Manage website and social media accounts; maintain a positive online presence for the Foundation.

Support the Executive Director and Board

  • Conserve the Executive Director’s time by reading, researching, and routing correspondence; drafting letters, documents, and presentations; collecting and analyzing information; initiating communications.
  • Prepare for Foundation Board meetings, including preparing meeting packets and coordinating logistics and food. 
  • Assist Executive Director and Board members with travel arrangements and preparation for professional conferences and meetings as required.
  • Other special projects as assigned by Executive Director or Board Chair.

Office & House Management

  • Process payroll and invoices, monitor bank balances, prepare documentation for fund transfer, and maintain electronic bank register and financial files.
  • Maintain file systems; oversee the transition from paper to digital.
  • Maintain compliance with all Foundation policies and update the Foundation’s Policies and Procedures Manual when appropriate.
  • Ensure adequate office and supply inventory by monitoring supplies and anticipating needs.
  • Welcome guests and visitors by greeting them, in person or on the telephone; respond to email and online inquiries.
  • Coordinate house reservations, provide tours, and keep house neat and organized.
  • Implement preventive maintenance plan, ensuring proper operation of equipment.
  • Coordinate household repairs by vendors and/or caretakers.


Commensurate with education and experience. Range: $38,000 - $45,000
